POLICIES

  • All design services are carried out according to the project proposal or agreement we discuss before beginning. This ensures that we are aligned on the exact deliverables, timeline, and

    overall direction. If at any point you wish to expand the scope of the project such as: adding additional designs, requesting new platforms, or exploring entirely new concepts, this will

    require a separate quote and approval before the work begins. I’ll always make you aware of additional costs and get your approval before proceeding with any out-of-scope work.

  • Each project includes a set number of revision rounds, which will be clearly stated in the proposal. Revisions are meant to refine and polish the chosen direction, not to start over with entirely

    new concepts. To keep things efficient and organized, I ask that all revision feedback be consolidated and sent in a single, clear message rather than spread across multiple emails or calls.

    If you need more rounds of revisions than what is included, I’m happy to accommodate them at my standard hourly rate or a flat fee. This ensures that the process remains fair and keeps

    projects moving forward without unnecessary delays.

  • I primarily communicate with clients through email, as it provides a written record of all discussions, decisions, and feedback. My standard business hours are [M-F 8am - 5pm], and I

    typically respond within 24 to 48 hours during the workweek. If you’d like to schedule a meeting or call, we can arrange a time in advance that works for both of us. Clear and timely

    communication is essential, when responses or approvals are delayed, project timelines may shift to reflect that. My goal is to keep the process smooth, organized, and respectful of

    both our time.

  • At the beginning of each project, I’ll provide you with an estimated timeline. These timelines are based on the assumption that all necessary content (such as text, images, or logos) will be

    provided on time, and that feedback will be delivered promptly. If delays occur on your side, the timeline will be adjusted accordingly. In some cases, projects that require an accelerated

    turnaround time may be subject to a rush fee. I do everything possible to meet agreed deadlines, but collaboration and prompt communication are key in making that happen.

  • To begin any project, a 50% non-refundable deposit is required. This deposit secures your spot on my schedule and ensures I can dedicate time to your project. The remaining balance is due

    upon completion of the project and before the final files are released. For larger projects, milestone payments can be arranged so that costs are distributed over the course of the work.

    Payments are accepted through Alice Studios Invoice. Invoices are due within [7–14] days of being issued. Please note that late payments may incur a fee of [5–10%] per week, and projects

    may be paused until payments are brought up to date.

  • Ownership of the final, approved designs transfers to you once full payment has been received. Until that point, all designs remain the intellectual property of the designer. You are then free

    to use the completed designs as agreed in the project scope. I reserve the right to showcase completed work in my portfolio, website, and marketing materials unless you request otherwise

    in writing. Drafts, unused concepts, and rejected ideas remain my property and are not included in the final deliverables. Source files, such as layered Photoshop or Illustrator files, are not

    automatically included unless specifically agreed upon or purchased separately.

  • The initial deposit is non-refundable, as it secures your project slot and covers the time and resources spent preparing for your project. If you decide to cancel after work has begun, you will

    be responsible for covering the cost of any work completed up to the date of cancellation. If, for any reason, I am unable to complete the project, I will provide a refund for any work not

    completed. In cases where the client becomes unresponsive for an extended period (for example, more than two weeks without communication), the project may be considered abandoned

    and closed, with no refund of the deposit.

  • Any sensitive information, files, or business details you provide during the project will be kept strictly confidential. I respect the trust you place in me and will not share your information with

    third parties without your permission. Similarly, I ask that you respect my creative process, pricing, and other proprietary details by keeping them confidential.

  • Once the project is completed and the final payment has been received, I will provide the deliverables in the agreed formats. Common formats include JPG, PNG, and PDF for web and print

    use. Print files will typically be provided in CMYK, while digital files are prepared in RGB. Source files are available upon request, provided this is part of our agreement or purchased

    separately. Final files will be delivered through Google Drive.

  • While I make every effort to ensure your files are accurate and ready for use, I cannot be held responsible for printing errors, color discrepancies, or issues that arise with third-party

    vendors if they are outside of my control. It is the client’s responsibility to proofread all text, content, and information before final approval. Additionally, any images, text, or materials

    supplied by the client are assumed to be legally owned or licensed for use. I cannot be held liable for copyright infringement or licensing issues related to client-supplied content.

  • Either party may choose to terminate the project in writing at any time. If termination occurs, the client will be billed for all work completed up to that point. As noted above, deposits are

    non-refundable. If I must terminate the project on my end, I will refund payments for any work not completed.

  • By moving forward with a project, the client acknowledges that they have read, understood, and agreed to the terms outlined in this policy. These guidelines are in place to protect both

    parties and ensure a successful, professional, and enjoyable design process.
